  3. Click Compress PDF.

  4. Download once it confirms the file is 500 KB or less.

A comfortable middle ground

500 KB is the cap you meet on university and scholarship applications, visa and passport appointment uploads, and many company onboarding forms. It is enough for a full transcript, a few months of bank statements, or a multi-page scanned agreement.

Quality at 500 KB

Because the budget is generous, the tool can usually keep pages at 110–150 DPI. That is sharp on a laptop screen and still fine if someone prints it. Photos inside the document stay recognisable, and signatures remain clear.

Check whether you need it at all

If your PDF was exported from Word, Google Docs or a bank’s website, it may already be well below 500 KB. Check the size shown when you add the file. Compressing such a document turns its crisp vector text into images and can even make it bigger, so the tool warns you and you can simply keep the original.

If it still does not fit

Very long scans (50 pages or more) may stay above 500 KB. Split them into parts with Split PDF, or drop pages you do not need with Delete PDF pages. For a tighter limit, try the 200 KB preset.

Where the 500 KB limit applies

University and scholarship applications, visa appointment document uploads, and company onboarding or HR systems – usually for multi-page documents such as transcripts, bank statements or agreements.

Expected results at 500 KB

Pages (scanned) Budget per page What to expect
1 page about 500 KB Scans stay sharp; photos and stamps clear
3 pages about 167 KB Scans stay sharp; photos and stamps clear
10 pages about 50 KB Readable on screen; small print may soften
25 pages about 20 KB Large text only; consider fewer pages

Born-digital PDFs (exported from Word or a bank website) are often already under the limit – check the size first. These are rough guides: colour, page size and scan noise change the result.

Can’t get below 500 KB?

When the tool reports the closest size above the target, the document simply has more page detail than the budget allows. In order of effect:

  1. Send fewer pages. Remove blank, duplicate or unneeded pages with Delete PDF pages, or keep only the required ones with Extract PDF pages.
  2. Split it. If the portal allows several uploads, cut the file into parts with Split PDF and compress each part.
  3. Rescan in greyscale at 150 DPI. Colour and 300–600 DPI scans waste most of the budget on paper texture.
  4. Crop dark borders from phone scans before making the PDF – black edges cost a lot of bytes.

India examples

Common 500 KB uploads in India: multi-page degree and experience certificates on government job portals, bank KYC supporting documents, and project reports on university portals. For tighter exam limits see Compress PDF to 300 KB and 200 KB.

Frequently asked questions

Which Indian forms ask for a 500 KB PDF?

Examples include multi-page experience certificates and degree certificates on government job portals, and supporting documents on bank KYC and university forms. Always check your form’s own limit.

When is 500 KB the limit?

University applications, visa appointment portals and many company HR systems accept up to 500 KB per document, which suits multi-page transcripts or bank statements.

Will a 20-page bank statement fit?

Usually, at roughly 25 KB per page. The text stays readable on screen, though very small print may soften slightly.

Why is the compressed file bigger than my original?

Digitally created PDFs (exported from Word, for example) are already compact. Rebuilding pages as images can make them larger; in that case keep your original – it already fits.

Can I choose quality instead of size?

Yes. Switch “Compress by” to Quality preset and pick High, Medium or Low.
